Operations

Through a proactive approach to planning and maintenance the Aberdeen Public Schools Operations Department is charged with the care and management of all District owned/leased properties and equipment. The health and welfare of all students, staff and visitors is the Department's primary function.

 

Operations Department Repair/Maintenance Procedures:

I wanted to touch briefly on the system that the Operations Department uses to repair/maintain all of the district’s 200+ acres of land and near 1 million square feet of building space in its never ending job of providing a safe, secure and productive environment.  We proudly do this so that teaching and learning is as safe, comfortable and stress free as possible. 

Our department has used the MicroMain electronic work request system for the past 19 years.  In that time we have completed 79,184 work orders or on average 4,168 per year or 16 work orders per work year day.  These work requests are above and beyond our typical daily tasks of cleaning the buildings, mowing lawns, moving snow, setting up for concerts, etc etc ets.

 The process:

  • You notice something at your site, or in your room/area that needs attention that the buildings custodial staff has not seen or is not aware of  

  • Please send an email to your buildings head custodian- giving them as much information as possible so that they can determine the best path to get a quick solution for you

The head custodian will then do one of several things:

  • They will repair/move/install the item(s) themselves

  • If it is beyond their capabilities they will submit an electronic work order to me and then I will assign the proper maintenance staff/vendor to make the repairs

  • If it is a budget item and not a maintenance/repair item they will ask you to pass this request along to the building principal so that the principal can consider adding it to your buildings budget requests for the upcoming budget year

  • There are a million grey areas to these requests so if in doubt please have them send in a work request and I can sort it out

 

A couple of things to remember-

  • Work requests are prioritized and this determines the order in which they are worked on

  • The work request system is for maintaining and repairing items and in most cases not for requesting new items

  • Maintenance staff are not to be called directly.  This process is extremely inefficient and slows the process down for everyone

  • Please remember to email your head custodian so that they can begin the process and get you and our students taken care of as quickly as possible

  • If you don’t pass an issue along to your head custodian it will most likely go unnoticed for a period of time.  Please help us help you by being our extra set of eyes

  • If you should happen to see something that needs to be repaired that you feel is an emergency then please contact your head custodian as soon as possible.  If they are not available then the building secretary or principal are next in line.  They can then call myself or Bob directly
